Payment Option 1 - Paid In Full

Our first payment option is PIF (Paid In Full) you can pay for your 12 or 36 month program in full
at time of joining and receive a 10% discount on the total cost of the program.

This option is available to all programs at any time but only discounted at time of joining, we do
offer this as a PIF option for 12, 24 and 36 months payments.

EXAMPLE - So if you decide after 12 months of training you would like to pay for the rest of the
program (24 months) you can, or you can pay for the next 12 months it’s your choice.

Payment Option 2 - Monthly Training Fees (Separate from Initial fees *)


When joining East Coast Premier Martial Arts Ltd you will join for a 12 or 36 month period, the
cost of the 12 or 36 months is broken down into 12 or 36 payments spread over the duration of the
program (for your convenience and to reduce initial outlay), these payments are calculated over a
48-week year which allows for a 4 weeks non training during the year, this will include two weeks
break over the Christmas holidays.


Initial fees*


On joining you are required to pay an Initial fee, this fee covers your membership set up costs and
insurance for the program length. This a down payment and none refundable.
Cancelled Classes
Should any classes be cancelled other than the 4 weeks we will endeavour to replace that class
later (this is not always possible). Bank holidays we are closed. Every student that has missed a
class can train in any other class within 1 month of missing that class (as a catch- up class, for
whatever reason the class is missed).

Direct Debit Payments

With over 200 members training on a weekly basis, the easiest method of payment collection is via a
Direct Debit mandate set up directly to East Coast Premier Martial Arts Ltd.
This has proven to be the simplest and most convenient method of collecting payments for both the
academy and our members. We do not offer any other payment options.


Pay as you Train


We do not allow pay as you train.

Cancellation of Training Fees


If for any reason you need to stop your training, either permanently or temporarily, then it is the
sole responsibility of the student, parent or guardian to cancel their Direct Debit with their
bank. East Coast Premier Martial Arts Ltd has no action over this and excepts no responsibility for
charges taken.

You are required to give 1 months’ notice if it’s your intention to cancel allowing us time to
cancel your membership with the school.

East Coast Premier Martial Arts Ltd is unable to refund or credit back any member that fails to
cancel their Direct Debit. If the direct debit is cancelled we view this as cancelation of
membership, re-joining fees will be applicable, and you will need to join as a new member
regardless of any fees paid.


Belts and Returning Students


Belts will be honoured for a period of two years from the date of leaving East Coast Premier
Martial Arts Ltd. After this time, you will need a period of retraining and will be assessed on
your ability and new grade (this may be a lower grade than you were previously awarded).


Photographic & Video Consent


From time to time we may take photographs or video footage of the classes for use on promotional
material or the website. Any photographs or video footage taken of the classes will only be used by
East Coast Premier Martial Arts Ltd and will not be shared with any third party. Please fill out a
consent form if you wish for videos or photos to NOT be taken of you.


Equipment


All equipment must be purchased through the school, in the past poor-quality equipment has been
used in the school and resulted in injury to the student, all our equipment has been
tested and approved. We offer equipment as a package to save costs.

Data Protection at East Coast Premier Martial Arts

At East Coast Premier Martial Arts, we take our members privacy into account by only taking the

information we require from you as a member.

This data is used by our Management and staffing team to help your journey as a student of our
school.

You have rights under the GDPR as an individual and below we will endeavour to explain your rights.

1.     Right to be informed

You have the right to be informed about any data we hold about you and how we hold this data. The
information we require from you is on our student membership form, this data is placed onto our CRM
system and only used by management and staff,

We Collect the following Data

•     Name.  We know who you are.

•     Address. For our insurance.

•     Date of birth. We know your age, again for insurance and a birthday email.

•     Phone numbers. Contact you if required. (emergency and non-emergency)

•     Email address. Send you information/special offers about our school.

•     Medical history. We need to know if there are any current medical problems.

•     Clothing size. For your uniform and equipment.

•     Bank Account details. To process lesson payments.

•     Photos. For use as advertising and on our system.

We use the following Storage to process your details

•     Club Manager – Our CRM (School Software).

•     Go -Cardless – Our Direct debit collection company.

•     Mobile Phone – Used to contact students in Emergency.

2.     Right of access

You will be able to see any data we keep about you at any time, we request you book a meeting with

our data controller.

3.     Right to rectification

You have the right to have any data we keep about you changed if it is incorrect.

4.     Right to erasure

You have the right to have any data erased if you no longer train with our schools or have any
association with East Coast Premier Martial Arts.

5.     Right to restrict processing

You have the right to have any data restricted from use within East Coast Martial Arts Academy or
associated schools.

Individuals have a right to ‘block’ or suppress processing of personal data.

When processing is restricted, we are permitted to store your personal data, but not further
process it. We can retain just enough information about the individual to ensure that the
restriction is respected in future.

6.     Right to data portability

The right to data portability allows East Coast Premier Martial Arts Academy to obtain and reuse
your personal data for their own purposes across different services.

It allows East Coast Premier Martial Arts to move, copy or transfer personal data easily from one
IT environment to another in a safe and secure way, without hindrance to usability.

7.     Right to object

You have the right to object to data processing based on legitimate interests or the performance of a

task in the public interest/exercise of official authority (including profiling).

You have the right to object to direct marketing (including profiling).

You have the right to object to processing for purposes of scientific/historical research and
statistics.

8.     Rights related to automated decision making including profiling

We can only carry out this type of decision-making where the decision is:

o  necessary for the entry into or performance of a contract; or

o  authorised by European Union or Member state law applicable to the controller; or

o  based on the individual’s explicit consent.
